Allocate Funds to an OU

When creating a project, you must create a project spend plan. To create a project spend plan, you must have funds available from a funding source on the parent OU where you are creating the project. If the parent OU is a top-level OU, then it must have a funding source attached to it. If the parent OU is a child OU, then it must have funds from a funding source allocated to it.

You can only allocate funds from parent OUs to one of its descendant OUs. All viable target OUs will appear in the Destination OU dropdown. The application allows you to allocate from OUs at the top of the OU structure to the bottom of the OU structure in a single operation. This prevents you from having to allocate the same funds three times when you want to allocate to a child OU that is three levels down. You cannot move funds from OUs that are at the same level. For instance, you cannot move funds from a brother OU to a sister OU, or vice-versa. You also cannot move funds from one OU tree to a completely different OU tree with a different top-level OU.

The Destination OU can be any child OU below the Source OU in the OU structure, it does not have to be a direct child OU and it could be any number of OUs below. You can view all the past allocations and recalls from the Allocation History screen.

If you want to move funds from a child OU to a parent OU, you must perform a recall instead of an allocation. For more information, see Recall Funds from an OU.

To allocate funds to a child OU:

  1. Click Financials > Allocate Funds.
  2. In the Source OU field, select an OU where there are funds available.
  3. In the Destination OU field, select the OU where the funds will be transferred.
  4. Next to each funding source, enter a dollar amount to allocate to the destination OU. You can allocate from multiple funding sources in the same operation.
  5. (Optional) Enter comments.
  6. Click Apply.
